Inventory & Stock Tracking

Understand stock maintenance, low stock alerts, batches, expiry, serials, variants, and transfers.

Stock Maintenance

  • When Track Inventory Stock is ON, billing validates available quantity and deducts stock after invoice save.
  • When OFF, stock enforcement is disabled and billing should not reduce inventory.
  • Use stock transfers to move goods between stores or branches.

Low Stock Alerts

  • Set a Low Stock Alert Level on each product.
  • BillSalt warns when current stock falls below the configured threshold.
  • Turn alerts OFF when you do not want warning fields or billing notifications.

Vertical Tracking

  • Batch and Expiry tracking is useful for pharmacy, FMCG, and food businesses.
  • Serial, IMEI, and warranty tracking is useful for electronics and mobile stores.
  • Variants help garment businesses manage size, color, fabric, and style.
  • Jewellery fields support gross weight, purity, stone weight, making charges, and HUID.

Batch Number Tracking

  • Use Batch Number Tracking when each stock lot needs a unique batch or lot code, such as Pharma Lot, FMCG lot, food batch, or cosmetics batch.
  • Example: Paracetamol 500mg can have LOT-001 with quantity 50 and LOT-002 with quantity 50, so stock remains traceable batch-wise.
  • Batch tracking helps with product recalls, supplier traceability, purchase history, stock movement, and expiry-based stock control.
  • When this setting is ON, batch number should be required during Stock In or Purchase Bill entry for batch-tracked products.

Expiry & Mfg Date (FEFO Tracking)

  • Use Expiry & Mfg Date tracking when products have manufacturing and expiry dates.
  • FEFO means First Expiry, First Out: the system should suggest or consume the batch with the earliest valid expiry date first.
  • Example: if LOT-001 expires on 10-Jan-2026 and LOT-002 expires on 10-Mar-2026, sales should pick LOT-001 first.
  • Expiry date should be required when expiry tracking is enabled, and expiry date must be after manufacturing date.

How To Test Batch & Expiry

  • Enable Batch Number Tracking and Expiry & Mfg Date in Settings > Item Settings, then save settings.
  • Create or edit one product and enable batch and expiry tracking for that product.
  • Stock In the same product twice: LOT-001 quantity 50 with earlier expiry, and LOT-002 quantity 50 with later expiry.
  • Open product details or stock report and confirm both batches show separate available quantities.
  • Create a sale for the product and confirm the earliest non-expired batch is selected first by FEFO.
  • Try invalid cases: missing batch number, missing expiry date, expiry before manufacturing date, and expired stock selection. The system should warn or block based on the business rule.
  • After saving the sale, verify stock reduces from the selected batch only.
